Race Merchandise Planning Checklist

Race merchandise becomes complicated when participant apparel, staff uniforms, volunteers, sponsors, pacers and finisher items are sourced separately. A program-based plan reduces missed deadlines and makes packing easier.

Build One Master Merchandise Plan

Start by listing every group that needs product. Typical categories include registered participants, volunteers, event staff, medical or operations teams, pacers, VIPs, sponsors, expo staff and finishers. Then map products, quantities, artwork owners and delivery deadlines to each group.

Participant

Race tee or singlet, bag, cap, socks, towel and optional premium upgrades.

Operations

Staff polos or tees, volunteer tops, crew jackets, marshal identifiers and team-specific colors.

Commercial

Sponsor merchandise, expo retail products, VIP gifts and finisher merchandise.

Work Backward From Event Day

The final delivery date is not the real deadline. Allow time for receiving, counting, sorting and correcting any issues before the event. Large events should also reserve time for team-by-team or size-by-size packing. Artwork approval, sample confirmation and final quantity lock should each have their own internal deadline.

Control Artwork Early

Events often have more artwork stakeholders than ordinary team orders. Create one approved logo sheet showing the event logo, sponsor hierarchy, placement rules, colors and required legal marks. Confirm whether each sponsor must appear on every item or only selected categories.

Use Packing as Part of the Sourcing Plan

Do not wait until production is finished to decide how products will be distributed. Participant items may need to be packed by size. Staff kits may need department labels. Sponsor or VIP packs may need individual presentation. The supplier should know the final packing logic before bulk production is completed.
